Field survey operations, from dispatch to delivery

Captera is the field-to-finish platform for 360° and LiDAR site-survey teams — dispatch, schedule, capture, QA, and hand the client a polished deliverable.

Everything to run a field-capture operation

📋

Field guide & capture

A mobile, offline-ready capture guide with per-site checklists your operators actually use on a roof in bright sun. Save a checklist and come back to it anytime, or start a job on one device and finish on another. Photos upload with progress bars and a dark/blurry retake nudge, and notes take dictation — captured hands-free in gloves.

🗺️

Smart dispatch

Auto-assign each job to the nearest available operator by driving distance, with a drag-and-drop calendar and a live map. Add a second tech to any job, set per-job time estimates, and see a per-tech capacity view that counts on-site plus driving time so an over-booked day is obvious before it happens. Jobs can repeat weekly, biweekly, or monthly.

QA & revisits

Per-item review, GPS-verified photos with captions, send-backs and revisits, and a name-stamped audit trail.

📸

Site photos & video

Bulk-import photos matched to each site by GPS, plus per-site video uploads (up to 1 GB) — reviewed in a zoomable gallery and delivered to the client portal.

📊

Reporting

Turnaround, first-pass rate, mileage, square footage (interior / exterior / roof / basement), and per-operator scorecards — exportable to CSV/PDF.

🏠

Client-ready delivery

Branded completion PDFs and live status share links for every site.

🔔

Notify & automate

Texted invite links, two-way SMS, calendar invites, daily reminders, in-app and optional Slack alerts. Each user picks their channels and sets quiet hours, and a job left unaccepted before its date escalates to dispatch on its own.

🤖

AI-assisted QA

Automatically pre-checks each submission's photos for dark, blurry, or missing shots — so reviewers catch issues faster.

💬

In-app messaging

Per-site, two-way chat between the office and the operator — text and photos, with alerts in both directions. Docks in the corner on desktop, and one-tap canned replies keep dispatch fast.

🎓

Operator certification

A built-in training quiz per program tracks who's certified before they head into the field. Certifications expire and send recert reminders, dispatch can be gated to certified techs only, per-question analytics show which part of the guide isn't landing, and per-program endorsements match the right operator to the job.

📍

Geofenced check-in

Operators clock in/out on site — the app records location and real timestamps for accurate hours and proof of presence, and clocking in opens that job's checklist so work starts in one tap.

📅

Today at a glance

Operators and dispatch both filter sites by Today, the next 7 days, or overdue — with today's jobs pinned to the top of the list, so nobody hunts for what they're working on right now.

🛡️

Crew-safety context

Every job address auto-resolves to its police jurisdiction and shows an area-crime read from FBI data — property and violent rates ranked against the state — so dispatch knows when to send a second operator or a guard.

🏢

Client portal

Give clients a branded login to browse their portfolio — every site with the 3D tour embedded, the report PDF, photos, and square footage — and request new surveys themselves.

💬

AI assistant

A built-in help assistant answers how-to questions and live data — who's assigned where, the closest operator, pipeline counts, and an operator's own schedule, mileage, and route.

🔒

Secure by design

Account-only sign-in with two-factor authentication, role-based access and single sign-on, rate limiting, and a strict security policy.

How Captera works

  1. STEP 1

    Schedule & dispatch

Assign sites to the nearest available operator by driving distance — respecting day-off rules and daily caps, batching nearby jobs to cut drive time.

  2. STEP 2

    Capture in the field

Operators clock in on arrival — the app verifies they're on site, tracks time, and opens that job's checklist — then they follow a guided, brand-specific checklist they can save and return to at any point. It installs to a phone and works fully offline; submissions queue and send when back online.

  3. STEP 3

    Review & QA

Run per-item quality review with GPS-verified photos, send work back with itemized notes, or flag a revisit — all tracked in an audit log.

  4. STEP 4

    Deliver to the client

Hand over branded PDF reports and live status links — or give clients a login to their own portal with embedded 3D tours, reports, and photos for every site.

Frequently asked questions

What is Captera?
Captera is a field-to-finish operations platform for 360° and LiDAR site-survey teams. It handles scheduling, dispatch, offline capture, QA review, mileage, and client-ready reporting in one tool.
Who is Captera for?
Captera is built for companies and networks that run camera operators in the field — site surveys, virtual tours, floor plans, and measurement captures — and need to dispatch, track, and QA that work at scale.
How does Captera assign jobs to the right operator?
Captera auto-assigns each site to the nearest available operator by Google driving distance, respecting days off and daily job caps, and can batch nearby same-day jobs to reduce windshield time.
Does Captera work offline in the field?
Yes. The field app installs to a phone like a native app and works fully offline; submissions queue locally and upload automatically when the device reconnects.
Can Captera be white-labeled?
Yes. The branding, survey guide, checklists, and site-info fields are configurable per client, so Captera can run under your own brand for multiple operators.
Is Captera secure?
Yes. Every user signs in with their own account, two-factor authentication is supported and can be required across the whole organization, role-based access and single sign-on keep the right people in the right places, and the platform uses rate limiting, encrypted transport, and a strict content-security policy.
Can Captera train and certify operators?
Yes. Each program can include a short certification quiz operators take in-app; admins can see who's certified before assigning work, which helps onboard and scale a field network. Certifications expire and prompt recertification, dispatch can be restricted to currently-certified techs, and per-question analytics reveal which questions — and therefore which part of the guide — operators struggle with.
Can a job have more than one operator?
Yes. Any job can carry an optional second/assistant tech. Both see it on their schedule and checklist, both can clock in with their own time record, and both are messaged; the primary still files the report. It's the natural fit for the crew-safety case where a second person is warranted.
Does Captera help balance workload and drive time?
Yes. Each job can carry an estimated on-site time, and the Workload view shows a per-tech, per-day capacity read — on-site time plus real Google driving time between stops — colour-coded so an over-booked day is obvious before it's booked. Jobs can also be set to repeat weekly, biweekly, or monthly.
Can operators control how and when they're notified?
Yes. Each user chooses email, SMS, and push independently and sets a quiet-hours window in their own timezone; during it, push and SMS are held while the in-app inbox still records everything. Dispatch can also keep office-managed canned replies for fast, consistent chat.
Does Captera track time on site?
Yes. Operators clock in and out on each job, and the app captures their device location to confirm they were on site (proof of presence) and record real start/end times. That gives accurate hours independent of the scheduled time, with on/off-site verdicts visible to admins.
Can clients access their own deliverables?
Yes. Clients get a read-only login to a branded portal showing every site in their projects, with the 3D virtual tour embedded inline, the completion report PDF to view or download, a photo gallery, and site facts like square footage and capture date — all scoped to just their work.
Can an operator save a checklist and finish it later?
Yes. Every checkbox, typed field, and photo saves automatically to the device and syncs to the account, and there's an explicit “Save & finish later” button. Sites in progress are flagged on the list so an operator can pick up exactly where they left off — on the same phone or a different one.
Can a report be resent after adding more photos?
Yes. If an operator adds photos or corrects details after filing a report, they can resend it — the app tells them how many photos are new. The resend updates the same submission record and re-emails the PDF rather than creating a duplicate, so the office still sees one report per site with an “updated” marker.
Do photo uploads show progress?
Yes. Each photo uploads with its own progress bar, plus retry and cancel. Uploads keep running while the operator moves around the app, and anything interrupted by a dropped signal resumes automatically when the connection returns or they come back to the app.
Can operators caption their photos?
Yes. Operators write a caption for each reference photo as they upload it, and those captions appear with the photos on the client report and in the client portal. Whether photos are included in a client's report is configurable per project, with a per-site override.
Does Captera show crime or safety context for a job site?
Yes. When a site address is entered, Captera resolves it to the local police jurisdiction and shows an area-crime read from FBI Crime Data Explorer data — property and violent crime rates per 1,000 residents, ranked against every jurisdiction in the state, with a per-offense breakdown. It's an internal crew-planning signal to help decide when to send a second operator or a guard. The data is city-wide (not block-level), and agencies that under-report are flagged rather than shown as safe.
Can Captera store photos and video for each site?
Yes. Beyond the operator's capture photos, admins can bulk-import reference photos that are matched to the right site automatically by the GPS in each photo, and upload site videos up to 1 GB each. Everything is reviewed in a zoomable gallery with rotate, captions, and per-photo client visibility, and visible items appear in the client portal with a download-all option.
Can clients book their own surveys?
Yes. From their portal, clients can request a new survey on any of their projects — entering the site address, service type, and preferred dates. Requests go to an office review queue where your team approves them into scheduled sites or declines with a reason, and the client is notified by email and in-app at each step.
